Information for families

Informational document addressed to parents and legal guardians of students who use Aulify in the classroom.

What is Aulify?

Aulify is an educational tool that lets the teacher create an AI-powered assistant from the class material (notes, slides, exercises). The student chats with that assistant to review, ask questions and progress at their own pace. The assistant only answers using information from the material the teacher has uploaded: it does not browse the internet, does not give opinions and does not add external content.

What student data is collected?

  • A name or nickname the student types in when entering the chat. We recommend using an alias or just a first name, never surnames or personal data. The student does not choose a password: authentication is handled internally from the invitation link and the name.
  • The conversations the student has with the assistant.
  • Pedagogical progress (which objectives have been mastered).

We do not ask for: surnames, ID number, date of birth, address, phone number, photo, or the student's email. Aulify never sends emails to the student.

🎙️ If the student dictates by voice

The chat has a microphone button so the student can dictate the message instead of typing it. Speech-to-text conversion is performed by the student's own browser or device operating system. The audio is not sent to Aulify, is not stored anywhere and is not processed on external servers. Only the resulting text reaches our servers, exactly as if it had been typed by hand.

Who sees this information?

Only the teacher who created the assistant. No other teacher, school or third party has access. Aulify does not share data for commercial or advertising purposes, and conversations are not used to train AI models.

Who is the controller of the student's data?

The school or teacher who decides to use Aulify with their class acts as the data controller for the minors' data. Aulify acts as the data processor, i.e. it processes the data on the school's behalf following its instructions and a data processing agreement (DPA) under article 28 of the GDPR.

If your child is going to use Aulify in the classroom and you need more information about the specific legal basis or applicable consent, you should contact the school or teacher, who is the one collecting that information from families when regulations require it (in Spain, parental consent is mandatory for children under 14, art. 7 LOPDGDD).

Where is data stored?

On servers located in the European Union, encrypted in transit (TLS) and at rest, with access restricted by database-level security rules. AI model providers may be located outside the EEA; in those cases, transfers are covered by the applicable legal safeguards (Standard Contractual Clauses and, where appropriate, the EU–US Data Privacy Framework).

How long is data kept?

Conversations and student progress are kept as long as the assistant exists. If the teacher deletes the assistant or the student, their data is removed immediately. If the teacher closes their account, all content is deleted within 30 days.

What rights do families have?

As holders of parental authority or guardianship, parents or legal guardians may exercise on behalf of the minor the rights of access, rectification, erasure, objection, restriction and portability set out in the GDPR.

The most common and fastest way is to contact the teacher or the school, who can instantly delete the conversations or the student's account from their dashboard. If you prefer to contact Aulify directly, you can do so through the rights exercise page or by writing to hello@aulify.app.

What if I have a complaint?

You may file a complaint with the Spanish Data Protection Agency (www.aepd.es) or with the supervisory authority of your country.
